Projects are the top-level containers in Transcription App. Everything you work on — media files, transcripts, notes and subprojects — lives inside a project. This tutorial covers how to create, manage, search, and export projects.
What you see on the Projects screen
The Projects screen is the home screen. It shows the app title, version, support email, and links to Terms of use, Privacy Policy, and Tutorials. You can create new projects or import existing ones.
Each project card shows the project name, description, number of media files and last updated date.
Creating a project
- On the Projects screen, click « New Project ».
- Enter a project name in the Project Name field.
- Optionally add a description.
- Click « Save Project ».
Note: Free mode allows unlimited projects. Creating subprojects (nested projects inside a project) requires a subscription. See 3. Getting a subscription.
Managing projects
- Click anywhere on the project card (except action buttons and the drag handle) to open the project.
- Drag the grip handle on the card to reorder projects.
- Click the pencil icon to edit the project name or description.
- Click the archive icon to export the project as a ZIP backup (subscription-gated).
- Click the trash icon to delete the project and all its data. Confirmation is required.
What is inside a project
When you open a project, you see three working areas:
- Project header — back navigation, search, and project edit controls.
- Left sidebar — the Queue panel and Notes panel.
- Right side Files panel — media files.
For more on working with the queue, see 5. How to transcribe a file.
Searching inside a project
Click « Search » in the project header to open Project Search. You can search across all transcripts in the project by keyword and filter the results by speaker. Click « Reset » to clear the search and return to the normal project view.
Looking for tags, advanced search or documents? These research tools are no longer part of Transcription App. They now live in Qualitativist, our qualitative research suite built on the same private, on-device transcription, with a literature library and citations in Word as well.
Importing a project
On the Projects screen, click « Import Project » and select the ZIP file containing the project you want to import.
Note: Import Project is subscription-gated. See 3. Getting a subscription.
Exporting a project
On the project card, click the archive icon. The project exports as a ZIP file.
Note: Export Project is subscription-gated. Use exports for point-in-time backups.
Storage safety
Keep your active project storage on a normal local folder. Do not store your active Transcriptions Folder inside iCloud Drive, Dropbox, OneDrive, Google Drive desktop sync folders, or network-mounted cloud folders. Live sync tools can delay, lock, duplicate, or overwrite the JSON files the app writes while you work. Use Export Project for backups instead.
You can change where the app stores project data in Settings > Storage. See 8. Guide to Settings (section E: Storage settings).
